Privacy Rules

PRIVACY RULES
 
For the purposes of the Data Protection Act, 1998, the Data Controller in relation to any data the Society holds is Lincoln City Supporters’ Society Ltd (Lincoln City Supporters’ Trust). The information given to the Society when membership is renewed is held by the Society for the purpose of record keeping, membership matters including renewals and direct marketing. Information is only shared with Lincoln City Football Club and Lincoln and District Football Supporters Club. 
 
If you do not want your information to be shared in this way, or used for direct marketing purposes, the member should write to the Secretary of the Society, Sincil Bank Stadium, Lincoln, LN5 8LD.
 
The Society expects that if anyone applies to be a member of the Society, or if they renew their membership by application to the Membership Secretary or as an element of their Club Season ticket purchase, that they agree to abide by the Rules of the Society.
 
Further, for the purposes of approving access to the members’ area of the website, member information will be held temporarily by the website designers, Lincoln Web Enterprises, while membership details are confirmed with the Membership Secretary. Lincoln Web Enterprises shall then destroy membership details in a manner designed not to compromise the data security of that member. The Society Secretary shall from time to time ask Lincoln Web Enterprises to demonstrate these actions are taking place.

The Secretary proposed that in accordance with the Society’s Privacy Policy, full membership details should only be stored on the computers of the Secretary and the Membership Secretary. In addition, Gold Member details could be stored on the Gold Director’s computer and details of members who participate in “Fan for the Day” could be stored on the computer of the Member of the Society Board organising that event. As soon as information is not required it should be deleted.

The board were reminded of our own rules around data protection and the requirements of data protection legislation. The board agreed that during the transition period whilst we are without a membership secretary full access to the data would be afforded to:
 
 
 
 
Lissie Wilkins, Dave Beck, Rob Bradley, Kevin Clayton, Steve Derbyshire, Jean Foster, Mike Thompson, Andy Townsend, Geoff Wilkins, Roy Noble, Paul Kenton,   George Lee and Rick Keracher.

It was agreed by the Board that future access to the Membership database would be restricted to the Secretary, John Pearson, the Membership Secretary, Paul Kenton, the Treasurer, Mike Thompson, the Gold Director, Jean Foster and Steve Derbyshire for membership email postings. New access passwords would be arranged.
